How Rova works for hosts

Rova is the events system behind Storytown. If you run a venue, put on events or perform around the Rogue Valley, here’s how your events got onto Storytown and what you can do about them.

Where your listings come from

Events get onto Storytown in three ways:

  • Your public calendar. We check public event pages, like a venue’s website calendar or a ticketing page, and list what we find there.
  • Storytown’s editors and community. Our editors add events by hand, and people send in events they know about. We review community submissions before they go up.
  • You. Once you manage your listings, you can add events yourself.

We only list events that are already public.

Claiming your listings

On your venue, organizer or artist page on Storytown, tap “Is this your venue?” (or “Is this you?”) and sign in with your email. There’s no password. We email you a code.

Claiming doesn’t change anything on its own. Your listings stay up, and the import keeps running. Nothing changes until you confirm or edit something. Sometimes we need to check that a claim is really yours. While we do, you can still edit, and we’ll confirm within a day.

Your events then show up in your Workspace on rova.live. For each listing:

  • Looks right makes it yours.
  • Not mine takes it out of your Workspace. It stays on Storytown, because it may belong to someone else who uses the same venue. If it shouldn’t be listed at all, tell us (see below).
  • Edit it. Saved changes show on Storytown straight away.

The import won’t overwrite your work. Once you’ve confirmed or edited an event, our import can’t change it. If your calendar later shows a new title, a new time or a dropped date, we send it to you as a suggestion, and you decide whether to accept it. The one exception: when your own calendar adds a new date, we add that date to the event and mark it for you to check.

Pausing or removing the import

Go to Settings → Event sources in your Workspace.

  • Your calendar: pause it, resume it, or remove it. Pausing means we stop checking it. Removing means we stop using it for good. Either way, the events already listed stay up, and they’re still yours to edit or mark as not happening.
  • Shared sources list events for lots of venues. You can’t switch one off for everyone, but you can stop it adding your events.
  • No calendar yet? You can paste a link to your calendar there, and we’ll set it up.

Only owners and admins can change these.

Getting a listing fixed or taken down

  • It’s your event: edit it, mark a date as not happening, or unpublish it from your Workspace. If we’re still checking your claim, you can edit but not take events down until we confirm.
  • It’s not your event but it’s wrong: use “Suggest an edit” on the event’s Storytown page.
  • It shouldn’t be listed at all, or you can’t sort it out yourself: email [email protected] with the link. A person will reply.

What’s free

Everything most hosts use is free:

  • listing your events on Storytown
  • RSVPs and free tickets
  • check-in at the door
  • ticket links to wherever you already sell
  • the Website Embed, which puts your Storytown calendar on your own website

Selling tickets? Add your ticket link to the event, and people will go straight to your seller from Storytown.

Want to sell tickets through Rova? Rova ticketing is available to select partners. Email [email protected] to ask.

Your attendees

When people RSVP to your event, you can see their names and email addresses, and they appear in your check-in list. You can export that list. If you use that list to market to your attendees, it’s up to you to get their consent. Followers and saves are shown to you as counts, never as names.

We don’t sell attendee information to anyone, and we don’t give one host’s attendee list to another host.

Who runs Rova

Rova is run by Rova Live Inc., a small team in Ashland, Oregon. Storytown is a separate non-profit organization that uses Rova to power its curated view of Rogue Valley events. Our office is at 5 North Main Street #2, Ashland.
